Know where every tube and coupler is before you buy more

The yard and every site keep their own store in materialpro. Tubes, couplers, boards and cuplock move between them on recorded transfers and come back on returns, so a new job is filled from stock you already own, and an LPO goes out only for what is really missing.

Three old problems

Three places a scaffolding contractor’s money leaks

  1. 01Heard on site

“We buy couplers from the same supplier every time. Nobody has time to ring round.”

One RFQ for new fittings, each line to the cheapest supplier

Send one RFQ for couplers, cuplock and base jacks to several suppliers. Their prices line up line by line with each supplier’s total, the cheapest is marked, and Generate POs splits the award into one LPO per supplier.

Saves money|New fittings bought at the best price on each line, not from the first supplier on the phone.

  2. 02Heard on site

“The standards came off the truck bent, and the driver still wanted the DN signed in full.”

Check new fittings at the gate and refuse the bent ones with a photo

AI reads the pieces off the supplier’s DN. The storekeeper books what came off the truck, records what’s short and refuses damaged pieces with a reason and a photo. Whatever wasn’t received stays open on the LPO.

Saves money|Bent or missing fittings are never paid for.

  3. 03Heard on site

“The couplers go out with the gang, fewer come back after the strike, and nobody knows where the rest went.”

Count the stock back after every strike, and see what each job lost

When a site is struck, a site return brings what the yard issued to that job back to the yard, with good and damaged pieces counted apart. Only the good pieces go back into usable stock, and whatever never came back shows line by line against the job.

Saves money|Lost fittings show up on the job that lost them, not in a year-end stock-take.

One month, added up

Hours and money back, added up over a month

Stock at the yard and every site, transfers and returns, quotes and delivery notes sit in one place, instead of phone calls, WhatsApp groups and spreadsheets. Here is a sample month.

Questions

We have a yard and several live sites. Can each keep its own stock?

Yes. Set up the yard and each site as a store. Every transfer, issue and return is logged, so before anyone orders new fittings they can see what the yard and the other sites already hold.

Tubes and boards come back damaged after a strike. How are they booked?

On the return, each line is booked as good or damaged. Good pieces go back into usable stock at the yard. Damaged ones stay on record on the return but aren’t counted as usable stock, so the balance you work from is what you can actually send out.

Do LPOs and invoices show VAT?

Yes. VAT is set on each LPO and invoice: 5% in the UAE, none in Kuwait or Qatar. Before payment, each invoice is matched against the LPO and the delivery notes, and if a line doesn’t match, the whole invoice is held.
