Pay for the turf and palms that arrived, not the ones on the LPO

Every delivery, from turf and palms to interlock pavers and kerbstone, is received against its LPO on the phone, on site. Dry turf is refused with a photo, missing palms stay open on the LPO, and neither gets paid for.

Three old problems

Three places landscaping and irrigation jobs lose money and time

  1. 01Heard on site

“Every nursery quotes the palm at a different price, and we never know who’s actually cheapest.”

Check what you last paid, then compare nursery quotes line by line

Every item keeps its price history, with the price you last paid and your average, so you can check it before you award and spot a high quote at a glance. Send one RFQ to nurseries and irrigation shops, compare their prices line by line, award each line to the cheapest, and materialpro raises one LPO per supplier.

Saves money|Each line goes to the cheapest supplier, and a quote above what you paid last time is easy to spot.

  2. 02Heard on site

“How many loads of sweet soil actually came? Nobody counted.”

Log every load’s DN on site, and check it against the invoice

The foreman photographs each load’s delivery note and AI reads it into a receipt against the LPO, so you always know how much has come. At month end the invoice is matched to the LPO and the DNs. A line billed above what was received is flagged, and the whole invoice is held.

Saves money|Loads that never arrived are never paid for, and nobody counts DN papers at month end.

  3. 03Heard on site

“The engineer’s on another site, and the nursery says the palms go to someone else if the LPO isn’t here today.”

Approve the requisition on the phone, and the LPO goes out the same morning

The site raises a requisition with a needed-by date. Above the amount you set, it goes to the PM, who approves it on the phone, and the LPO’s expected date shows on the calendar next to the needed-by date.

Saves hours|Approval takes minutes instead of a day of phone calls, and the nursery stock isn’t lost to another buyer.

One month, added up

Hours and money back, added up over a month

DNs, quotes, invoices and approvals sit in one place instead of WhatsApp chats, paper and spreadsheets. Here is a sample month.

Questions

Our foremen work in Arabic, the office works in English, and supplier invoices carry 5% VAT. Does that work?

Yes. The app’s screens are in English today, while item names, notes and LPO lines can be written in Arabic or English, the way your foremen and suppliers already write them. Everyone works on the same LPOs, DNs and invoices. The 5% VAT is recorded on the LPO and the invoice, so it carries through when the invoice is matched against the LPO and the DN.

We run villas, parks and maintenance sites at the same time. Can each site keep its own stock?

Yes. Each site and the main store keep their own stock of drippers, valves, fittings, drip line, interlock and kerbstone, and every transfer, issue and return between them is recorded. An item running low shows a low-stock warning on its page and appears on the low-stock list, and since you can see what another site still holds, you can transfer it instead of buying it twice.

Our foreman buys fittings and fertiliser for cash at the shop counter. Can that go in too?

Yes. He photographs the receipt on his phone and codes it to the project’s cost code, so petty cash is charged to the right job and no receipt goes missing.
