AC down? Get the spare part approved on the phone in minutes.

Whether you run AMCs across towers or general maintenance and renovation jobs on villas and buildings, an LPO above the amount you set in materialpro goes to the supervisor, then the FM manager, and each approves on the phone wherever they are. Who approved, and when, stays on record.

Three old problems

Three places maintenance contracts lose money and time

  1. 01Heard on site

“The technician paid cash for a contactor at the shop, and the receipt’s gone.”

Photograph the counter receipt and book it to the building and cost code

The technician photographs the till slip on the phone, enters the amount and VAT, and picks the building and the AMC cost code. Every cash purchase comes with its photo, so month-end petty cash is a list to check, not a hunt.

Saves hours|No chasing slips at month end, and no guessing which building the cash went on.

  2. 02Heard on site

“Tower C ordered R410A again, while Tower A had five cylinders sitting in its store.”

See the cylinders in every tower and van, and transfer before you buy

Each tower and each service van is its own store, and every transfer, issue and return of refrigerant and electromechanical spares is on record. When one building runs out, you can see where the spare stock is and transfer it instead of buying again.

Saves money|Cylinders and spares you’ve already paid for get used, not bought twice.

  3. 03Heard on site

“The filters ran out right before the PPM round.”

Reorder consumables when stock drops under the minimum, with a needed-by date

Set a minimum for filters, refrigerant and lamps in each store. When stock drops under it, the item shows on the low-stock list; raise a requisition and set the date the PPM round needs it. The calendar shows that date next to the date the LPO is expected.

Saves money|Filters come in on an LPO at your agreed price, not rush-bought at the counter.

One month, added up

Hours and money back, added up over a month

LPOs, approvals, counter receipts and stock for every building sit in one place, instead of WhatsApp messages, paper slips and spreadsheets. Here is a sample month.

Questions

We look after several buildings on different AMCs and take on renovation jobs too. Can each one keep its own costs and stock?

Yes. Set up each building, AMC or renovation and refurbishment job as a project with its own stores and cost codes. LPOs, counter receipts and stock movements are all booked to it, so you can see what each contract or job is spending on materials and spares against its estimate.

Our supplier invoices carry 5% VAT. Can they be checked before we pay?

Yes. VAT is recorded on each document, at 5% in the UAE. AI reads the invoice lines and matches them against the LPO and the delivery note. If a line doesn’t match, say 20 filters billed but only 16 received, the whole invoice is held until someone reviews it.

Today it’s WhatsApp, petty cash slips and a spreadsheet. Do we have to change everything at once?

No. Start with one building: technicians photograph counter receipts and supervisors approve LPOs on the phone from day one. Add the other buildings and stores when you’re ready.
