Pendent heads ordered, uprights delivered? Catch it at the gate.

With materialpro, the storekeeper checks each delivery against the LPO on his phone. Wrong or missing items are not booked in and stay open on the LPO, so you don’t pay for what never arrived.

Three old problems

Three places firefighting & fire alarm jobs lose money and time

  1. 01Heard on site

“Every supplier gives us a different price for the same sprinkler head, and we end up buying from whoever called last.”

Line up every supplier’s price, and give each line to the cheapest

Send one RFQ to several suppliers and their prices line up side by side, line by line. Award the heads to one supplier and the pipe to another, and both LPOs are raised in one step.

Saves money|You pay the lowest price on every line, not just the lowest quote overall.

  2. 02Heard on site

“The supplier bills us for valves that never came, at a price that isn’t on the LPO.”

Every invoice checked against the LPO and the DN before it’s paid

AI reads the supplier’s invoice and checks each line against the LPO and what was actually received. A line that bills more pieces, or a higher price, is flagged and the whole invoice is held.

Saves money|Over-billed lines are caught before payment, not found months later.

  3. 03Heard on site

“The valve request has been waiting two days for the manager’s signature, and he’s on another site.”

Urgent requests approved on the phone, with the needed-by date in view

Site requests above an amount you set go straight to the right approver, who approves on his phone. The needed-by date and the LPO’s expected delivery date then sit side by side on the calendar.

Saves hours|Approval happens the same morning, so the fitters aren’t left waiting for valves.

One month, added up

Hours and money back, added up over a month

Quotes, DNs, invoices and approvals sit in one place instead of spreadsheets, WhatsApp chats and paper files. Here is a sample month.

Questions

Our storekeepers write in Arabic, the office writes in English, and supplier invoices carry 5% VAT. Does that work?

Yes. The app’s screens are in English today, but item names, notes, LPO lines and supplier documents can be written in Arabic or English, the way your team and suppliers already write them, and everyone works on the same LPOs, DNs and invoices. VAT is recorded on the document, so a UAE invoice keeps its 5% VAT when it is matched against the LPO and the DN.

We have several towers running at once. Can each site keep its own stock of heads and fittings?

Yes. Each site store keeps its own stock, and every transfer, issue and return is recorded. You can see the heads already sitting on another site before you reorder, and items below their minimum show on the low-stock list, so you know what to requisition.

Small items like teflon, threaded rod and anchors are bought for cash at the hardware shop. Do they get lost?

No. Take a photo of the receipt on site and tag it to the project and cost code. Every cash purchase is then on record with its photo, instead of turning up in a drawer at month end.
