Three places carpentry contractors lose money
- 01Heard on site
“Three timber yards, three different prices for the same blockboard, and I still have to ring each one.”
Quote board and hardware together, and buy each item from the cheapest
Send one request to several timber and board suppliers, and their prices per sheet or per piece line up side by side. The cheapest on each item is marked, so you can split the order and turn it into POs in one click.
Saves money|Splitting by item beats even the cheapest single quote.

“We ordered 12 mm ply and got 9 mm. The crew had nearly nailed it all up before anyone noticed.”
Check every line as it’s unloaded, and send the wrong thickness back
The carpenter checks each delivery-note line on the phone while the truck unloads. Plywood in the wrong thickness is refused with a photo and a reason. Only what was accepted is received, and the refused sheets stay owed on the PO.
Saves money|Refused board is never booked as received, or paid for.

“Leftover blockboard from the last job is still stacked up there, and the new job just ordered a fresh lot.”
Track what’s left on every job, and use it on the next one first
Each job can be its own stock location, so you can see exactly how many sheets are left. When a new job asks for board, transfer it from the old job first and only buy what’s still short.
Saves money|Use up the leftovers instead of buying the same board twice.
Hours and money back, added up over a month
Quotes, orders, delivery notes, invoices and leftovers live in one place, so matching no longer runs on spreadsheets and LINE. Here is a sample month.

Questions
We run on spreadsheets and LINE. Do we have to switch everything at once?
No. Start with one job and one PO. Uploading photos of delivery notes already works, and everything else can stay as it is.
Can the carpenters order materials from their phones?
Yes. A carpenter raises a requisition on the phone with the items, quantities and the date they’re needed, and it goes to the office for approval. Once approved, one click turns it into a PO, so nobody has to guess from a photo in a chat.
Our suppliers’ delivery notes and invoices are handwritten, or just sent as photos. Can the system read them?
Yes. AI reads the items, quantities and unit prices, then matches them line by line against the PO and the receiving records. An invoice that doesn’t match is held as a whole for a person to review before payment.
Can I see how much of a job’s carpentry budget is spent?
Yes. Split each job by cost code, such as ceilings, partitions and cabinetry, and see the estimate next to what’s already been ordered, so you can tell when one is getting close.
